Description

The Virginia Coalition for Open Government is seeking a part-time Development & Operations Coordinator to provide fundraising, administrative, logistical, and communications support to expand the organization’s fundraising capacity, public outreach and operational effectiveness.

The position prioritizes managing donor engagement processes and coordinating opportunities to maximize the executive director’s engagement with potential donors, journalists, community groups, attorneys and lawmakers.

The ideal candidate is a strong project manager, an excellent writer, has fundraising experience, is capable of creating systems and is someone who enjoys keeping details organized to ensure the organization’s smooth operation.

Job Duties

Donor & Fundraising Support
Identify and research prospective donors and sponsors
Schedule donor meetings and track follow-up tasks
Draft donor appeal letters, sponsorship requests, acknowledgments, and fundraising emails
Assist in maintaining organized donor records, transaction and contact histories
Draft communication, acknowledgement, outreach and response templates

Event & Outreach Coordination
Coordinate scheduling and logistics for the executive director to conduct trainings, make presentations, attend meetings, host public events and attend related events
Manage or assist registrations, confirmations, reminders and follow-up communications
Maintain a master calendar of outreach activities and upcoming opportunities

Operations & Systems
Assist in maintaining and creating accurate contact databases and mailing lists
Develop and improve workflows for outreach, scheduling and follow-up
Draft organizational materials and communications

Executive Support
Assist in scheduling and administrative tasks
Help ensure timely communication and follow-through with partners, supporters, and stakeholders
Meet regularly with executive director to establish priorities and goals

Skills Required

Experience in nonprofit administration, development, fundraising or related fields is preferred
Bachelor’s degree required; equivalent years of experience in a related field will be considered in lieu of a degree
Familiarity with event coordination (scheduling, logistics, registration)
Strong communication and organizational skills
Comfort working with multiple spreadsheets, databases, templates. calendars and email platforms

Work Schedule

Flexible schedule with some availability during standard business hours preferred
Remote position within Virginia, and/or, specifically, the Williamsburg area

A successful candidate will help create the organizational infrastructure that raises the profile of the organization and allows the executive director to spend more time delivering trainings, building relationships, cultivating donors and advancing the organization’s mission in public-facing settings.
