Description

Madison House is seeking a permanent full-time coordinator or manager to oversee the Charlottesville Tax Aid Coalition as it transitions to Madison House. They will supervise the Madison House Creating Assets Savings and Hope (CASH) program (a student-led volunteer program) and coordinate Tax Aid Coalition partners (local organizations also providing free tax preparation services). 

The ideal candidate will have a proven ability to coordinate and collaborate across many different stakeholders (this position will be working with volunteer tax preparers, volunteer student leaders, staff from coalition member organizations, people from UVA schools and departments, and clients from the community) as well as a familiarity with tax preparation and accounting. They will be conscientious, detail-oriented, and committed to getting results in a fast-paced environment. The ideal candidate will also be able to handle an intense, in-person workload during tax season. Job Duties

Job Responsibilities 

The Tax Aid Coalition Coordinator/Manager, who will report to the Directors of Operations and Community Engagement, is responsible for the following: 

Coordinator duties will include:

  • Ensuring the site is in compliance with all IRS VITA site requirements.
  • Maintaining relationship with IRS office for obtaining site materials and other pertinent information.
  • Ensuring VITA site is open as scheduled and ensuring adequate supplies, tax materials, and equipment are maintained.
  • Ensuring that all tax returns are electronically filed with the IRS in a timely manner and that acknowledgements are reviewed.
  • Ensuring rejected returns are either corrected or the taxpayer is contacted.
  • Ensuring that a quality review is conducted on each return prepared by volunteer tax preparers.
  • Maintaining accurate records of volunteer certifications and volunteer hours.
  • Answering taxpayer questions regarding tax law or their tax return.
  • Compiling post‐season reports for end‐of‐season wrap‐up and evaluation.
  • Planning/hosting volunteer recognition event at the end of the filing season.
  • Oversight and support of volunteer leaders and tax preparers during training and tax season. 
  • Managing student workers and part-time staff. 
  • Establish a system to efficiently schedule clients.
  • Performing other duties as assigned.

Skills Required

Qualifications: 

We’re seeking candidates who excel in relationship building, are results-oriented, and have strong project management and organizational skills. You should have: 

  • A track record of coordinating effectively across diverse groups of stakeholders. 
  • Experience managing projects effectively and with close attention to detail. 
  • A willingness to hit the ground running and a history of getting things done even in the face of obstacles. 
  • A demonstrated understanding of accounting, financial services, and tax preparation.
  • An interest in/commitment to public service and community engagement. 
  • An ability to support and collaborate with many different teams, including student leadership teams.
  • Strong organizational, time management and communication skills.
  • Basic tax knowledge (Form 1040 and supporting schedules).
  • Completed all training and certification requirements.   Passed the IRS Tax Test at the Advanced Level. 
  • Basic computer skills for inputting tax return information into tax software (TaxSlayer).
  • Ability to work independently.
  • Ability to manage all‐volunteer staff.
  • Flexibility and dependability with ability to work evenings and Saturdays.
  • Dependable transportation, valid driver’s license and proof of insurance.

Preferred Qualifications:

  • Experience with VITA tax preparation services and wraparound services (Code for America) and/or a Tax Aid Coalition itself.
  • Degree in Accounting. 
  • Significant tax preparation experience.
  • Fundraising experience.
  • Grant writing experience.
  • Communications and project promotion experience.  

Work Schedule

Hours will vary seasonally, and the candidate can expect to work more than 40 hours during tax season (Jan-April) and can offset extended hours in other months.

About Madison House 

Madison House is an independent, nonprofit organization that serves as the volunteer center for University of Virginia students. We coordinate volunteers, develop leaders, build community partnerships, and promote a lifelong commitment to service among our students. During the 2021-2022 academic year, 1302 volunteers served for a total of over 35,000 hours with our 113 active community partner organizations and sites. Our Creating Assets Savings and Hope (CASH) program trains UVA students as tax preparers over the fall semester so that they can provide free tax preparation and filing services to community members in the spring. CASH has stayed active even through the pandemic, and now that Madison House is serving as the lead organization for the Cville Tax Aid Coalition, we are expecting the program to expand its services and deepen its volunteer base significantly.   The individual is expected to grow and develop skills necessary to eventually be able to perform the preferred qualifications.  Salary and independence will grow in conjunction with their skills and ability to manage and grow the program.
