Description

The Special Events Manager is responsible for planning, organizing, and executing impactful events that align with organizational goals and objectives. This includes managing event logistics, coordinating vendors, and overseeing committees to ensure seamless execution. The role emphasizes creating and implementing effective communication plans to promote events, drive attendance, and foster strong community engagement.

Additionally, the Special Events Manager will prioritize stewardship through events, cultivating meaningful relationships with stakeholders to enhance their connection to the organization. Partnering with BBBS leadership, this role plays a vital part in supporting the organization’s mission and long-term success.

Job Duties

Duties:
• Plan and implement annual fundraisers throughout service area – Greater Richmond, Tri-Cities, Greater Virginia Peninsula, & Hampton Roads
• Recruit and engage attendees in events including, but not limited to, selling tickets/teams, and promoting on-site funding opportunities
• Manage outside vendors for events
• Steward event participants and sponsors
• Draft and execute comprehensive communications plan for each event
• Promote organization through awareness and recruitment events as needed
• Support Program Director in planning match events and recruitment activities, including corporate presentations
• Support Development Director with stewarding corporate sponsors and event attendees
• Perform other duties as assigned

Annual Fundraisers:
• Bowl for Kids’ Sake (peer-to-peer fundraiser in multiple locations) – March/April in Richmond, August/September in Hampton Roads
• Fall Fundraiser (gala with silent & live auction) – October

Third-Party Fundraisers:
• Dancing with the Williamsburg Stars (Support to external planning group) – February/March
• Mustaches4Kids – November/December (Focus on recruitment for participants)
• Hable’s Hope Fore the Future – November/December (Support to external planning group)

Program events:
• 30 Bigs in 30 Days for National Mentoring Month – January
• National BBBS Month – September
• Match events & recruitment activities as needed

Skills Required

• Bachelor’s degree preferred
• Goal driven and detail oriented
• Demonstrate effective oral and written communication
• Self-starter who can work independently and take initiative
• Anticipate obstacles which could impact revenue, expenses or service delivery
• Demonstrated ability to build relationships with external stakeholders
• Knowledge of Microsoft Office and adaptability to Customer Relationship Management software
• Availability to attend functions outside of normal operating hours
• Availability to travel within the service region (Richmond, Tri-Cities, Williamsburg, Newport News, Norfolk, Virginia Beach) up to 25%

What You Can Expect from Big Brothers Big Sisters:
• Hiring range: $18.00-$23.00 an hour
• 2 weeks vacation
• 11 paid holidays
• Paid leave between Christmas and New Year’s
• Flexible scheduling, 15-30 hours per week as needed. Open to discussion.
• Remote working environment with frequent in person meetings in Richmond
