Operations Associate

The Wildlife Center of Virginia is an internationally acclaimed teaching and research
hospital for wildlife and conservation medicine, located in Waynesboro, Virginia, in
the heart of the Shenandoah Valley. The Center’s mission is to “teach the world to
care about and care for wildlife and the environment.” Since its founding in 1982,
the Center has cared for more than 100,000 wild animals, representing 200 species
of native birds, mammals, reptiles, and amphibians. The current annual caseload
averages about 4,600 patients.
The Wildlife Center has a professional staff of about 30 individuals who work
together in the veterinary, outreach, operations, and advancement departments.
While each of these departments carries out different functions, all staff work
closely together as a team to support one another and the Center’s overall mission.
Position Description
The Operations Associate supports both the Operations and Institutional
Advancement Departments by assisting with financial processes, donation handling,
and overall administrative support. Core responsibilities include preparing invoices,
bank deposits, monthly financial reconciliation, as well as supporting the annual
audit. This role processes mailed donations, generates donor acknowledgments, and
ensures their timely distribution. Additionally, the Associate is responsible for
maintaining organized digital and physical filing systems, tracking and ordering office
supplies, and supporting overall office efficiency through administrative support. This
position also assists with special events and general administrative support across the
Center.
Duties and Responsibilities (training provided)
Financial Duties – 45%
o Prepare monthly financials and accounts payable documentation for the
contract accountant.
o Balance the cash drawer weekly.
o Oversee bimonthly retirement contributions.
o Manage employee expense reports.
o Assist auditors in preparing the annual audit.
o Run financial reports in accounting software.
Donor Processing – 40%
o Run reports in donor database software.
o Accurately enter all donations into the Center’s donor database.
o Prepare bank deposits.
o Create and print acknowledgment letters for donors.
o Provide general administrative support for the Center’s
programs and operations.
o Working with various departments, provide event-planning support
for the Center’s annual gala, conference, open houses, and other
events.
Administrative Support – 15%
o Provide general administrative support for the Center’s programs and
operations.
o Maintain digital and physical filing systems.
o Maintain office supply inventory and place orders as needed.

Required Qualifications
High School Diploma
Commitment to wildlife, conservation, and the environment
Professional appearance and demeanor
Valid driver’s license
2024-2025 COVID-19 Vaccine
Preferred Qualifications
Two years in a relevant field
Basic accounting knowledge; understanding of financial processes such as
accounts payable/receivable, reconciliation, and invoicing.
Demonstrated attention to detail, including the ability to identify discrepancies in
accounts, donations, or financial records.
Demonstrated ability to communicate effectively with colleagues in an effort to
achieve common goals of the Wildlife Center of Virginia.
Experience with Microsoft Office applications, donor databases, and other office
technology. Experience with Salesforce and Microsoft GP preferred.
Basic technical proficiency; ability to perform basic troubleshooting and
knowledge of office software; ability to learn new systems.
Demonstrated ability to handle diverse, complex tasks independently, efficiently,
accurately, and under time constraints.
Ability to thoroughly edit documents, including those for donor distribution,
widely distributed emails, etc.
Excellent organizational and administrative skills.
Initiative and creativity in problem-solving.
Ability to organize, set goals, and meet deadlines.
Professional appearance and demeanor for both workplace and donor
interactions.
Interest in wildlife, the environment, and conservation.
Compensation and Benefits
The starting pay for this position is $20/hour. We’re committed to fair
compensation and are open to adjusting the rate for candidates with
advanced skills or experience.
The work week will be Monday through Friday from 9 a.m. to 5 p.m.
Occasional weekend work and travel required for special events, in person or
online. Ability for occasional teleworking.
80 hours of vacation time per year
40 hours of personal time per year
48 hours of sick time per year
