Description

Piedmont Housing Alliance seeks an Operations Administrator to lead administrative functions and coordinate office operations in support of service delivery and mission advancement, providing excellent customer service, efficient office management, and effective administrative support.

Job Duties

The Operations Administrator will:
Lead information and referral functions and organize client resource information;
Professionally and warmly greet, respond to, and direct all incoming visitors, callers, and inquiries;
Coordinate overall technology needs of the office and staff;
Utilize information systems to collect, manage and maintain client, volunteer, and donor data;
Provide logistical support, scheduling, meeting minutes, communications, and information management for Board of Directors and committees;
Serve as point person for office administration, including administrative policies and procedures, information management, archive and filing systems, and general facility management and scheduling;
Support Housing Counseling Team with intake triage, client follow up, database and file support;
Support Alliance Management with applicant and resident communication;
Support fundraising strategy by using donor database to record donations and information, generate donor acknowledgment letters, produce reports, and coordinate mailings;
Support communication strategy by updating website and assisting with messaging activities;
Provide logistical and technical support for team special projects and priorities (meeting coordination, special event support, marketing services and classes, correspondence support).

Skills Required

Qualifications include: excellent organizational, interpersonal, and administrative skills; ability to deliver quality customer service and communicate complex information; strong time management skills with ability to proactively anticipate needs; punctual and reliable with strong sense of accountability; high school diploma or educational equivalent and at least 3 years of customer service, reception, and office administration experience, including information management systems and technology-related responsibilities; strong computer skills and demonstrated working knowledge of the primary Microsoft Office programs (Word, Excel, Outlook, etc.) and email, network, database and smartphone account setup and configuration, software installation and troubleshooting in an Office 365 environment. Must be able to successfully pass all required background checks and other pre-employment screening.
