The Office Manager/Executive Assistant is responsible for managing the front desk and all organizational communications including calls to the United Way, communication with the board and executive committee on behalf of the President, communication with Women United as a liaison to the President and with community agencies, volunteers and direct service clients. The Office Manager will be responsible for maintaining the company calendar, board room scheduling, volunteer database, taking minutes at board and executive committee meetings, ordering office supplies, and managing meetings.

Job Duties

• Maintain board roster and sub-committee rosters
• Send communications to the board and executive committee
• Assist with scheduling meetings; reserve meeting rooms
• Send meeting reminders and track RSVPs
• Put together PowerPoint and other meeting materials
• Order lunches, and set-up meetings with audio visual
• Attend meetings, take notes, write up minutes for President’s review
• Maintain files for meeting notes and materials
• Manage office calendar
• Track registrations for special events
• Main greeter for the office, taking all calls and walk-ins
• Orders office supplies as needed
• Manage building maintenance including landscaping, contractors and snow removal
• Manages copier maintenance, phone and computer support as needed

Skills Required

• Bachelor’s degree preferred
• Excellent written and interpersonal communication skills
• Ability to work with a small team and juggle many responsibilities
• Comfortable communicating with a wide variety of stakeholders: board members, donors, agencies, clients, peer groups, associations, volunteers, civic and religious groups, and City/County government
• Excellent organizational and project management skills with attention to detail
• Microsoft Office proficiency: Word, Excel, Power Point and Outlook
• Ability to work independently and within a small team setting
• Other duties as required to meet the needs of the organization

Work Schedule

8:30am-5pm M-F
