Description

About the Position:

As the Human Resources Associate, you will support a variety of human resources processes in a hybrid and geographically dispersed organization. You will lead and support HR administrative tasks such as job postings and advertisements, interview coordination, pre-employment boarding and orientation, benefits, offboarding, record-keeping, and HRIS maintenance and support. With the responsibility of supporting a variety of HR functions, you are a self-starter and are highly organized. You care about developing a great employee experience.

At this point in time, this is a part-time position with expected hours of 20 per week. This part-time status will be reviewed on a fiscal year basis and may change in the future based on growth, need, and funding. Candidates should be comfortable with this set up and be open to increasing hours when organizational needs change. This role is ideal for someone interested in exploring or continuing to pursue a career in human resources. As a part-time position this role may also be ideal for someone who is interested in transitioning back to the workforce after a period of being out of the workforce or someone that is interested in staying in the workforce on a part-time basis for a period time.

 

About the Legal Aid Justice Center:

The Legal Aid Justice Center is a nationally recognized, non-profit organization that partners with low-income clients and communities of color in Virginia to fight for racial, social, and economic justice. We understand that the harms our clients endure are inextricably linked to overarching systems of injustice. Together we are dismantling those systems through a combination of community organizing, litigation, policy advocacy, public relations, and individual legal services.

Founded in 1967, LAJC has offices in Charlottesville, Richmond, Petersburg, and Falls Church and provides services under six key program areas: Civil Rights & Racial Justice (focuses on the criminal legal system), Housing & Consumer Justice, Youth Justice, Health Justice & Public Benefits, Immigrant Justice, and Worker Justice. As examples of LAJC’s recent work, our lawsuit and organizing against the state forced reform of Virginia’s unemployment insurance system, including advocacy that resulted in the distribution of over $1 billion in illegally withheld payments to over 160,000 Virginians. During the pandemic, we demanded and secured a statewide eviction moratorium and emergency pandemic protections that helped hundreds of families avoid eviction. We reduced incarceration across the state, including reducing the population of a local immigration detention center down to historically low levels through a coordinated effort of organizing paired with impact and individual litigation.  Our staff are on the front lines of some of the most important anti-poverty fights happening today.

With a staff of over 90, the past few years have been a time of exciting growth and opportunity for the organization. In addition to the growth of programmatic efforts including increased organizing capacity, LAJC has expanded its operations and administrative capacity, created new opportunities for professional growth and leadership among staff, engaged in ongoing race equity work, and explored changes to organizational structure to deepen its efforts to create long-term, sustainable, community-driven change.

Job Duties

Recruitment:

  • Post approved jobs in the applicant tracking system (ATS) and coordinate external advertisements across a variety of media and social media outlets (including LinkedIn) within the approved budget.
  • Support the recruitment process of employees, interns, or fellows.
  • Maintains the position management board, hiring channels, monitoring recruitment training, coordinating calendars, scheduling interviews, and record keeping of all recruitment documentation at the end of a search.
  • Tracks candidate recruitment statuses and ensures that all candidates are notified of final status at the conclusion of a search.

Hiring and Offboarding:

  • Generate offer letters and guide new hires through pre-employment boarding, coordinate, and schedule new hire orientations (human resources and technology).
  • Key new hires or terminations into HRIS system and support their onboarding and offboarding.
  • Generate offboarding letters.
  • Ensures that new hires complete all relevant new hire paperwork and employee acknowledgments.

Benefits:

  • Process benefit enrollments, terminations, or changes in the HR system and ensures that they get submitted to the carrier for processing.

Record Keeping:

  • Maintains employee files (may include soft and hard copies), including recruitment search record, employment authorization (I-9’s).
  • Ensures that data integrity is maintained within the HRIS and that all changes are supported by documentation.
  • Supports the performance management process by tracking the status of reviews.

HRIS Support: 

  • Process new hires, changes, or terminations in the HR system along with its supporting documentation and in preparation to meet payroll deadlines.
  • Supports HRIS maintenance by completing regular training, staying abreast of HRIS changes and new releases, and providing technical support to users.
  • Performs other general HR duties as assigned.

Skills Required

Required Qualifications:

  • Strong commitment to social, economic, and racial justice.
  • At least two years of experience working in human resources or related function (e.g. recruitment, benefits) or an administrative role with human resources responsibilities.
  • Good understanding of human resources processes.
  • Strong ability in using MS Office.
  • Tech savvy and hands-on experience with using business databases.
  • Self-starter and highly organized with the ability to manage multiple projects and tasks simultaneously.
  • Strong verbal and written communication skills.
  • People-oriented with a focus on providing great service to internal or external customers.
  • Ability to handle people data with confidentiality.

Preferred Qualifications:

  • Bachelor’s degree in business, social sciences, or human resources.
  • HR certification (SHRM or HRCI).
  • Basic knowledge of labor law and practices.
  • Hands-on experience using human resources information systems (HRIS).
  • Demonstrated experience in using MS programs, in particular Excel or PowerPoint.

Work Schedule

Location: This role will be based in our Richmond or Charlottesville offices. Occasional travel between offices will be required. Although a regular presence in the office is required, LAJC offers a remote work policy to support employees in co-creating schedules and arrangements that allow us all to do our best work.
