Wintergreen Performing Arts, Inc. seeks an experienced organizer with a musical background to serve as Festival Coordinator for the 2018 Wintergreen Summer Music Festival and Academy.

  • Job Title:  Festival Coordinator
  • Organization Name: Wintergreen Performing Arts
  • Job type: Seasonal – Summer position. Exact start and end dates to be determined by candidate’s availability, but work should begin between May 1 and June 15 and conclude between August 10 and August 31. Required onsite residency between July 5 and August 6, 2018.

Duties and responsibilities:

This position works with the Artistic Director to coordinate schedules, artists, venues, and other operational details of the Wintergreen Summer Music Festival and Academy. The Festival Coordinator will report to the Artistic Director, but will also work collaboratively with the Executive Director, Academy Manager, and Dean of Students.

Specifically, the Festival Coordinator will:

  • Oversee Arts Administration Fellows, directing and managing their work plan for the Festival and Academy
  • Create and maintain detailed operations sheets and records for all events
  • Organize and schedule spaces for Festival and Academy rehearsals
  • Organize transportation needs for Academy students, Festival artists and guest artists
  • Serve as primary Guest Artist liaison, managing schedules in collaboration with housing coordinator and Artistic Director
  • Create and distribute guest artist schedules and coordinate hospitality needs
  • Assist Academy Manager, Artistic and Executive Directors with administrative tasks throughout the Festival, including the gathering of data
  • Work with Academy Resident Life Director, Production Manager, Librarian and other on-site staff on projects as needed
  • Other duties as assigned/required

Requirements/Qualifications:

WPA is seeking an experienced organizer with a musical background. Experience in arts administration would be a plus, as would be training in classical music. The Festival Coordinator must have a positive energy, be creative and flexible, and have fluency in technology.

The candidate should demonstrate the following:

  • Project planning and time management skills
  • Computer skills, including Office, Skype, and web-platforms such as Google Drive, Dropbox, and Squarespace; and social media
  • Experience managing others
  • Detail oriented with ability to multi-task in a fast-paced environment
  • Excellent written and verbal communication skills
  • Passion for, knowledge of, and interest in the Classical Music Industry
  • Physical stamina to work long days during the Festival and abilities to set boundaries and delegate tasks as needed

This position is located in Wintergreen, Virginia, in the Blue Ridge Mountains, about 40 miles southwest of Charlottesville, Virginia. The Festival Coordinator will work on site from July 5 – August 6, 2018. Off-site work will begin at a mutually agreed upon time between May 1 and June 15, 2018. In addition, the FC will continue to aid in Festival wrap-up during part of or all of August. Housing during the Festival is provided. FC must have a car, valid driver’s license, and personal technology (smartphone with texting plan and laptop). In addition, as the position works with students, the successful candidate will submit to and pass a background check.

Compensation and Benefits:

Contract position – commensurate with experience and dependant on time availability before and after the Festival/Academy. Housing, free unlimited use of the Aquatics and Fitness Center, and free admission to Festival events are provided during the Festival.

Organization description:

Located in Virginia’s Blue Ridge Mountains, Wintergreen Performing Arts, Inc. is a nonprofit organization that produces a high-quality summer music festival featuring symphonic and chamber concerts, as well as other performing arts programs throughout the year. Education is a major part of its mission, reflected both in the Wintergreen Summer Music Academy and in outreach programs for those living in the surrounding area. By attracting first-rate musicians to participate as performers and educators, Wintergreen Performing Arts strives to enrich the lives of all–residents and visitors alike–who share the unique Wintergreen experience.

The WSMF presents a core of fully professional musicians and guest artists who perform orchestra, chamber, and solo music. Many of the musicians are teaching artists who teach in the Academy, a program for advanced student instrumentalists, vocalists, conductors, composers, and budding arts administrators. With six programs, the Academy serves around 60 students each summer. In addition to the core of classical music, WSMF presents jazz, bluegrass, and popular concerts as well as interactive, audience participation opportunities and daily seminars. Number of events each summer range from 175 to 200. Since its inception, WPA has relied proudly and heavily on an ever-growing core of volunteers to accomplish the feat of running a Festival and Academy. In addition, the local and semi-local community generously supports WPA financially. The annual budget is approximately $800,000, including substantial contributions of housing for the musicians and students during the Festival.
