Scope of Work: Cultivate Charlottesville is seeking applications for the Organizational and Finance Systems Director position as part of our Integrated Systems and Strategies Team (ISS). The Organizational and Finance Systems Director is primarily responsible for creating and maintaining efficient and equitable organizational systems that build a culture of care, inquiry, and excellence among our team, maintaining high standards of financial records and accounting, and ensuring smooth organizational operations.

The Cultivate Charlottesville team recognizes the impact of systemic racism, individual bias, and white supremacy on the Charlottesville community and all team members work to recognize, respond to, and dismantle inequities in the work we do.

Position Description

The Organizational & Systems Program Director core functions include:

  1. Maintain High Standards of Financial Records and Accounting
    • Keep Accurate and Clean Financial Books (Quickbooks)
    • Manage Cultivate Donor Database (Bloomerang) and Ensure Efficient Use
  2. Maintain Efficient and Equitable Human Resource Systems
    • Coordinate Staff Hiring and Consistent Position Descriptions and Evaluation
    • Administer Staff Payroll and Benefits
    • Manage Personnel Policies and Practices
  3. Support Organizational Systems Strategy
    • Build a Culture of Care, Inquiry, and Excellence Among Our Team
    • Ensure Integrity in Organizational Policy Development
  4. Ensure Smooth Organizational Operations
    • Maintain Insurance Policies (auto, commercial liability, commercial property, worker’s comp, management liability)
    • Provide Technology Support Across the Organization
    • Provide Cultivate Office and Staff Support
  5. Strengthen Organizational Goals and Values
    • Contribute as part of the Cultivate Charlottesville team with organizational activities such as community events, social media and community outreach, evaluation tracking, etc.
    • Engage in a robust culture of inquiry where critical thinking, self-reflection and ideas on effectiveness, improvements, and building equity are welcome.
    • Work to transform racial inequities in all aspects of work with strategic and intentional action.
    • Cultivate health and environmental sustainability in all program strategies and activities.
    • Support collection of program evaluation data for grant reports and tracking work progress across activities and support with grant writing and reporting.

Organizational Structure

Supervisory Structure: The Organizational and Finance Systems Director reports directly to the Executive Director and works closely with the Integrated Systems and Strategies team as well as across the whole Cultivate team.

Project Hours: The Organizational and Finance Systems Director is an exempt salaried position at 100% Full Time Equivalent or FTE (40 hours/week). Hours are during the workday with occasional meetings on evenings or weekends.

Compensation: The Organizational and Finance Systems Director beginning compensation range is $58,000-$64,000 Full Time Equivalent (FTE) with a generous leave policy and robust benefits including 100% employer funded health, dental, vision, life insurance, and an IRA savings match program. New employees generally start at the beginning of the range depending on experience.

Skills Required

The Organizational and Finance Systems Director requires multiple skill sets including a high level of organization and communication, the ability to design effective systems and structures, characteristics such as flexibility, highly autonomous, and innovative, and a commitment to the Cultivate vision and values. The preferred candidate will have:

  • A minimum of 4-5 years’ experience or a bachelor’s degree in a related field (human resources, fiscal management, accounting, organizational development, project and event planning) including experience with nonprofit organizations.
  • Excellent bookkeeping, fiscal management, and reporting, including familiarity with conducting annual audits and management of budgets larger than $1,000,000. Experience with Quickbooks and Bloomerang Database systems are important.
  • Excellent communication and organization skills with the ability to manage multiple projects and priorities with flexibility and alignment to our mission.
  • Experience working with human resources such as hiring processes and maintaining personnel and organizational records, and cultivating wellness in workspaces.
  • Experience working in diverse communities with a clear understanding of multi-cultural contexts and racial equity practices.
  • Computer competence including MS Office Software and other online tools.
