TITLE: Community Engagement Coordinator

RESPONSIBLE TO: Director of Community Engagement

JOB STATUS: Full Time, Exempt

ANNUAL SALARY RANGE: $35,000-$45,000

BASIC FUNCTIONS:  With the Director of Community Engagement, the Community Engagement Coordinator forms the full-time community engagement staff of Madison House, an independent, non-profit organization serving as the volunteer center at the University of Virginia. Madison House supervises the activities of 20+ student Head Program Directors and 275+ Program Directors who in turn manage ~4,000 annual student volunteers executing and implementing the mission of the organization to the benefit of approximately 20,000 members of the community.

QUALIFICATIONS:  The Community Engagement Coordinator position requires a Bachelor’s Degree in a social service, education, management or related degree.  A Master’s degree in higher education, student affairs, college student development, counseling, or a related field or at least 2 years of relevant experience in community service, volunteer management, leadership development, or non-profit management is preferred. The following knowledge and skills are required: organization, one-on-one advising, group facilitation, problem-solving, decision-making, training facilitation, and public speaking.  This position requires the ability to balance multiple tasks; work effectively with students; manage programs and events; and collaborate with community members and university members.

PHYSICAL CONDITIONS AND NATURE OF WORK CONTACTS:  This position requires close staff coordination and team-building efforts. This position requires evening and weekend work for Board Meetings, committee meetings, student meetings, and training retreats.  Occasional conference travel is required. Work is typically performed in an office, at meeting sites, and retreat sites.

Operation of automated office equipment and basic office management software programs is required. Regular contacts are made with students, community agency representatives, and board members. Considerable public speaking and writing skills are necessary. Occasional lifting of supplies and materials weighing 30 lbs is required.  

Student Leadership Development and Program Advisement

Work with Director of Community Engagement to:

  • Plan and implement leadership summits, retreats, and other trainings as needed
  • Plan and implement monthly Head Program Director group meetings
  • Meet biweekly with student Head Program Directors to review and develop program planning meeting agenda, to keep abreast of program issues, and to provide guidance and supervision
  • Coordinate the biweekly program planning meeting talking points, announcements and training materials for dissemination to all Head Program Directors and staff
  • Provide guidance, advising, and counsel to Program Directors, individually and in group meetings as needed
  • Mediate concerns and issues between volunteers, Program Directors, and/or Community Partners as needed
  • Interaction with Program Directors through periodic attendance of Program Advisory Meetings
  • Provide counseling and feedback to Program Directors who are not in compliance with their job description and duties
  • Maintain Program Director leadership training and volunteer management materials
  • Develop and update record-keeping processes related to Program Directors
  • Monitor student program director compliance with job descriptions
  • Assist with all aspects of programs evaluation

Community Partner Development

Work with Director of Community Engagement to:

  • Provide guidance and support to students and community agencies interested in developing a Madison House placement site
  • Evaluate potential Community Partner agencies
  • Maintain knowledge of volunteer activities at Madison House Community Partner agencies
  • Maintain positive working relationships with Community Partner Agencies
  • Conduct site visits of Community Partner Agencies as requested and as needed
  • Coordinate annual Community Partner training
  • Provide program specific training to Community Partners as needed
  • Maintain Madison House Community Partner database
  • Maintain listing of referral site agencies
  • Coordinate the annual Community Partner evaluation process, including follow-up with concerns and evaluating the viability of a continued partnership
  • Maintain knowledge of community resources and needs

Community Engagement

  • Coordinate the annual Community Partner evaluation process, including follow-up with concerns and evaluating the viability of a continued partnership
  • Encourage interdisciplinary community engagement programs. Collaborate across the institution and develop partnerships with faculty to integrate community engagement into academic courses and programs
  • Meet with Community Partners to establish need for community engagement projects/programs.
  • Assist the Director of Community Engagement to develop and lead meetings and workshops designed to assist community partners to become more effective at facilitating service learning experiences for students from varied backgrounds.
  • Assist in connecting faculty and community partners for community engagement projects
  • Assist in establishing and providing support for faculty to encourage integration of community engagement in their coursework.  Make presentations to departments, classes, community agencies and other groups as needed related to curricular and co-curricular service-learning and community engagement.
  • Provide logistical support, assist with recruitment and placement for community engagement projects or courses as needed. Complete assessment and evaluation of service-learning experiences for student participants, service-learning designated courses and community agencies.

Administration

  • Learn and utilize volunteer online database program proficiently
  • Assist with the preparation of annual report summaries of program activities and statistical information
  • Promote Madison House’s image as a model community service organization
  • Research local, state, and national awards and recognition programs for Madison House
  • Attend meetings of the Board of Directors
  • Serve on the Madison House Board of Directors Program Committee
  • Prepare a monthly staff report on program and Community Partner issues for the Board of Directors meeting
  • Participate as a team member in Madison House events
  • Prepare reports as directed by the Director of Community Engagement
  • Other related duties as assigned by the Director of Community Engagement
