Business Manager & Membership Services          

Type of Position: Exempt, full time               40 hours per week

Immediate Supervisor : Executive Director

OLLI at UVA has been serving the local Charlottesville area with university-level short courses for active adults for almost 20 years. OLLI at UVA is a 501(c)3 non-profit organization that is one of UVA’s affiliated organizations. We have grown over time thanks to our large pool of volunteer instructors and staff alike. OLLI has successfully adjusted amidst the pandemic to bring over 50 courses online for the Fall semester. The Business Manager & Membership Services staff member will be a key part of our team as we continue to pivot amidst change.

Position Summary:

The Busines Manager is someone who has both a knack for customer service and a skill for business operations. The ideal candidate is an independent thinker. We are a high functioning team – nimble, effective, team oriented and we are looking for someone who loves to go about their work in the same way. This role serves as the right-hand person for the Executive Director, the main contact for member relations and manager of the day-to-day operations of OLLI’s office. The Business Manager ensures that the office is an environment which supports the team’s efforts toward developing and implementing high quality lifelong learning programs by supporting our members in a positive, welcoming way. Overall, the business manager is responsible for the accounts payable/ receivable, course registration each semester and general membership satisfaction. The ideal candidate is comfortable learning in a currently remote office environment. Staff will socially distance in person occasionally for training and support our program in-person within the near future.


  • Membership services – answer the phone and direct calls to the appropriate staff. Greet guests as needed when we are in the office. Monitor the general OLLI email/inbox and respond or forward to staff as appropriate. Assist with donations and gift acknowledgement process. Process and open mail.
  • Accounting – process payables, receivables and reconcile both. Reconcile credit card transactions. Process refunds to members. Prepare for audit; liaison with OLLI treasurer in preparation of the audit. Assist the Executive Director in preparing for the budget cycle.
  • Registration per semester – manage and improve upon the current registration process. Ensure that registration forms are processed in a timely manner. Coordinate assistance from volunteers, contractors or UVA students as appropriate.
  • Marketing – assist the Executive Director with website updates and social media campaigns
  • Administrative support – Provide support to Executive Director and the team, such as:
    • Assist director with preparation (data) for board meetings
    • Maintain inventory/purchase office supplies. Purchase office equipment at the direction of the Executive Director.
    • Maintain office calendar of events and courses by semester. Notify instructors/members of schedule changes due to inclement weather.
    • Cooperate with staff to assure mutual success of the team
    • Perform other duties as assigned by Executive Director.


Required:  The ideal candidate should have at least four years of business management or membership services experience. Desire to work as part of a team.  Excellent organization and problem-solving skills.  Deep knowledge of Microsoft office software; strong computer and administrative skills.  Experience working with cloud-based membership or registration databases. Effective written and verbal communication skills.  Ability to manage multiple tasks.  Excellent time management and project management skills a must. Bachelor’s degree.

Preferred: Nonprofit or higher education experience, volunteer management experience, curious lifelong learner.
