Job Description – Youth Orchestras of Central Virginia (YOCVA) is looking for a top-notch, sharp bookkeeper to help the organization in its transition to an all-digital season. The organization has pivoted to an all-digital season with limited in-person engagements. 

The bookkeeper would be responsible for the day-to-day fiscal operation and financial upkeep of the organization. The ideal candidate must have a deep working knowledge of QuickBooks Pro Online and Excel proficiency. Many of the financial functions will be automated (payroll) but the candidate will still be responsible for ensuring that all employees get paid in a timely manner. This role would encompass approximately 5 hours a week at an hourly rate of $20-25 an hour depending on experience. The candidate would log all hours worked in JackRabbit as a means of tracking time. Weekly interfacing with the YOCVA Executive Director, Treasurer, and board VP as they will also have access to QB Pro in order to provide needed checks, balances, and transparency. The ideal candidate will be a team player, flexible, willing to learn new technology, (JackRabbit, Musico, Bloomerang), and have a professional demeanor as this role interacts with board members and parents. Candidate must have a working personal computer with a solid, reliable internet connection as this is an entirely remote role with paid training and support.

Job Duties

Weekly

  • Communicate with ED/Treasurer on budget/payroll/billing issues.
  • Reconcile deposits by individual check/cash into Quickbooks from Jackrabbit
  • Create new accounts in QB Pro as needed and communicate when bills are paid.
  • Notify Board President/Treasurer of any donations via Paypal/Jackrabbit.

Monthly

  • Reconcile payroll (auto-run) and 
  • Pay Federal and State Taxes (Auto-Pay)
  • Input deposits from Paypal into QB.
  • Reconcile bank account to records in QB.
  • Pull reports for Treasurer/VP

Quarterly

  • Complete Federal 941 tax form and mail.
  • Complete VEC form.
  • Double-check CACF amounts and update QB as needed.

Annually

  • Pull statements for Hancher
  • File w-2 for employees
  • File w-3 form
  • Pull transaction detail for 1099s (any over $600)
  • File state w-2 form
  • File VA-6 form

July – September (and ongoing)

  • Calculate discounts for multi-ensemble, siblings, etc.
  • Email about missing payments, payment plans, scholarships, etc.

 

Skills Required

  • Knowledge of QB Pro Online, with multiple budget cycles completed.
  • Able to pull reports and provide information to the Treasurer as needed and reconcile month-end reports.
  • Run payroll and correct any discrepancies if needed.
  • Good communication skills with multiple Board members on the financial issues of the organization.
  • Good financial acumen and able to advise on matters of non-profit budgeting.

Work Schedule

Candidate will be expected to log their time in Jackrabbit (training provided) and will be limited to 5 hours a week unless there is a need to expand the role. At certain times of the year (Taxes/Budget Prep) the expected hours might expand to accommodate the needs of the organization.

Additional Info

Candidates should expect to have at least one person interview with the VP/Treasurer and a Zoom interview with the other board members.

Training is provided and due to COVID, the role will be mostly remote with limited in-person interactions.

The candidate will be expected to use their personal computer and a new Windows-based computer will be provided.
