Description

The Center for Open Science (COS) is a non-profit organization based in Charlottesville, Virginia dedicated to improving the alignment between scientific values and scientific practices. The COS team moves quickly, identifies problems and creates solutions, encourages risk-taking, blends science and technology, is highly collaborative, is high energy, and is dedicated to openness. We are seeking a driven, outgoing, and self-starting individual who is looking to build their experience in financial administration while working for a fun, energetic, non-profit, tech start-up. The bookkeeper candidate will support the operations team to help ensure the efficiency and integrity of financial records and related tasks. This is a 10-12 hour per week, part-time position, either onsite or remote.

Job Duties

Work with the operations team on daily bookkeeping functions to include the following:

General Ledger

  • Enters bank and credit card transactions into the Intacct accounting system.

Accounts Receivable

  • Receives copies of deposit slip and check support from Controller and retains on Google Drive
  • Prepares reconciliation of accounts receivable

Accounts Payable

  • Obtains all invoices and stores on Google Drive
  • Records payables in the Expensify system for approval and then the Intacct accounting system once approved (this includes payables an employee reimbursements).
  • Creates weekly accounts payable report for management or other approval as required

Award Payments

  • Tracks, seeks approval, and pays recurring awards (Prereg, RPCB, etc.)

Reimbursements

  • Creates initial expense reports and forwards to Controller for approval

Credit Cards

  • Receives credit card receipts, scans and files on the Google Drive.
  • Locates all receipts or documents missing and is responsible for follow up with applicable individuals
  • Reconciles credit card  register in general ledger on a monthly basis

Competencies

  • Full charge bookkeeping
  • Nonprofit fund accounting (or for profit cost accounting)

Required Education and Experience

  • Minimum 2 years bookkeeping experience. Some accounting courses
  • Experience with the Intacct accounting system
  • Familiarity with Intuit or similar bookkeeping software; Excel proficiency
