Description

The University Advancement Donor Relations team at the University of Virginia is seeking a highly organized and detail-oriented Assistant Director. Reporting to the Associate Director of Donor Relations, this individual will support the team’s objectives to steward and engage top donors to the University, with a focus on UVA’s Leaders in Philanthropy, donors recognized as members of our Lawn and Cornerstone giving societies.

The ideal candidate is deadline-driven, detail-oriented, able to balance and fulfill multiple simultaneous projects and requests and thrives in a fast-paced environment. They are a proactive communicator with demonstrated success in problem solving, exceptional organizational skills, and keen attention to detail. Experience using a CRM or technical database and a high level of skill using Microsoft Excel is preferred.

Primary responsibilities will include: tracking and welcoming new society members, coordinating stewardship outreach to recognize individual donors’ milestones, writing and editing, planning and executing small-scale donor events, and other programmatic duties as assigned. This individual should understand—or be excited to learn—the importance of donor stewardship, its role in successful fundraising, and how it contributes to advancing the University’s mission.

Job Duties

Manage new member qualification and welcome processes for Lawn and Cornerstone Societies, including all tracking in CRM.
Manage outreach to key stakeholders across the University to create unique touchpoints to commemorate donor giving society inductions – including production and delivery strategy (with gift officers input) for one-off, highly customized gifts or related experiences
Writing and editing content for donor correspondence, newsletters, reporting, and other related assets.
Lead on planning and executing small-scale events and assisting with events managed by the Events Experience team.
Analyze donor data to recommend tiered strategies for donor engagement and outreach.
Design and create content for distribution via ThankView video delivery platform.
Mange production for printed materials, including list building, mail merges, and printing, mailing, and tracking.
Create briefing documents and agendas for meetings with key internal and external stakeholders, including donors, students, and UVA leadership.
Utilize CRM and other University databases to maintain donor and fund records and track interactions.
In addition to the above job responsibilities, the incumbent will also be responsible for other duties as assigned.

Skills Required

Exceptional verbal and written communication skills; ability to present, write, edit, and organize thoughts in a clear, concise, and well-organized manner.
Strong client service orientation and attention to detail.
Excellent interpersonal skills and professionalism to interact and effectively communicate and collaborate with a wide range of people at varying levels.
Experience in event planning and outreach.
High level skills using Microsoft Excel, including but not limited to: managing large database sets, task automation, creating dynamic reports using pivot tables, building formulas, cell formatting, and building charts and graphs.
Proficiency in Microsoft Office (Word, Excel, PowerPoint, and mail merge).
Strong technical skills with the ability to learn new databases and software programs.
Experience and/or interest in supporting multi-faceted projects.
Proactive problem solving.
Ability to work independently and as part of a team.
An aptitude for setting priorities, managing time, and meeting deadlines.
Ability to work evenings and weekends, as needed.
