Description
The Virginia Film Festival (VAFF) and Virginia Theatre Festival (VTF) seek a full-time Assistant Business Manager. The position will report to the VAFF/VTF Business Manager and support the fiscal and administrative needs of the two festivals.
Now in its 36th year, the Virginia Film Festival is widely recognized as one of the leading regional film festivals in America and is known for its commitment to taking audiences beyond the screen to explore some of the most important issues of our time. The annual five-day festival is held each Fall and showcases more than 100 films and 60 guest artists in venues across Charlottesville and UVA.
As UVA’s professional summer theatre for over 45 years, the Virginia Theatre Festival presents an annual summer festival of musicals, classic works, and new plays for our local Charlottesville, Albemarle, and UVA communities.
Job Duties
The successful candidate will be expected to:
- In coordination with the Business Manager, support financial operations such as purchasing, contract review, revenue deposits, account reconciliation, and licensing rights.
- Support hiring full-time, part-time, and seasonal staff through multiple channels including UVA HR, UVA Procurement, University Resident Theatre Association (URTA), and faculty period activity pay.
- Work with Business Manager to track and monitor budgets, revenues, and spending.
- Support staff, vendors, and guest artists with navigating vendor registration, reimbursement processes, invoice submission, Workday access, timecard entry, and other related tasks.
- Assist with training and onboarding for new staff and company members.
- Assist with general office administration and organization.
- Support grant application and research administration process.
- Support festivals’ staff in other pre-season and event planning and preparations as needed.
- Support other areas, such as operations, marketing, programming, production, box office, company management, front of house, and development, as needed.
Skills Required
MINIMUM REQUIREMENTS
- Education: High School Diploma
- Experience: Six years of experience. Bachelor’s degree may substitute for experience.
- Exceptional communications and organizational skills
- Able to solve problems and manage competing priorities effectively
- Strong attention to detail and time management skills
- Must have a proficient knowledge of computer applications, including Microsoft Outlook, Excel, shared calendaring, and other collaborative applications
- Ability and willingness to work evenings and weekends occasionally for events as needed are also required
PREFERRED
- A self-starter with a positive attitude and excellent work ethic
- Demonstrates the ability to work independently or within a team environment
- A passion for the arts
- Prior experience working in non-profit, arts, and/or university environments
- Working knowledge of Workday (Financial and HR)
PHYSICAL DEMANDS
- This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
Work Schedule
The anticipated start date is August 2023. This position is In-Person located in Charlottesville, VA.

This position will remain open until filled. This position will not sponsor applicants for work visas. The University will perform background checks on all new hires prior to making a final offer of employment.
This position is a restricted position and is dependent upon project need, availability of funding and performance. Anticipated Hiring Range: $22-$26 per hour ($47,000-$55,000 annualized) commensurate with education and experience.
