Description

The National Radio Astronomy Observatory (NRAO) is pleased to announce an opportunity for an Advancement Assistant to provide project support to the Director of Advancement Office. This is a part-time, 20-hours per week position.  The position is based at our headquarters in Charlottesville, VA on the grounds of the University of Virginia (www.virginia.edu). The Assistant will perform a variety of challenging clerical and administrative assignments, frequently dealing with complex and confidential information requiring critical thinking skills.  This role will assist with project coordination to provide communications, coordination, reporting, and administrative support to the Advancement Office’s projects.

Job Duties

Key responsibilities and duties will include, but not limited to:
  • Assist with the implementation process for a new software system, including supporting team members as needed in attaining proficiency in the new system.
  • Create process documents and communicate Standard Operating Procedures and other critical information for all Advancement systems.
  • Maintain accurate records, track data, and produce reports as needed.
  • Generate lists, letters, and other correspondence including, but not limited to mailing lists, donor recognition lists, solicitation letters and gift acknowledgements.
  • Manage grant submission and reporting calendar for Advancement foundations.
  • Assist in grant writing and editing as needed.
  • Works in Instrumental and Online Foundation Directory cloud-based grant research accounts to identify foundation prospects.
  • Attends stakeholder meetings and assists with their organization and planning.
  • Creates and maintains comprehensive project documentation, plans, and reports.
  • Provide administrative support including database management, phones/customer service, coordinating and meetings, organizing files, or related activities.
  • Coordinate travel arrangements, procurements, and travel reimbursement forms in compliance with organizational procedures and processes.
  • Other duties as assigned

Skills Required

  • Competency with Microsoft software including Word, Excel, Project, and Outlook.
  • Excellent organizational, planning, and time management skills.
  • Excellent interpersonal and oral & written communication skills.
  • Must be flexible and disciplined with acute attention to detail.
  • Ability to work effectively both independently and as part of a team.
  • Experience working and communicating with a wide range of people, including trustees, donors and other volunteers in person or by phone with the highest level of professionalism.
  • Experience writing, editing, and proofreading written materials.
  • Ability to communicate with tact, composure, and confidentiality as appropriate.
  • Ability to analyze available information for the purpose of preparing reports and solving problems.
  • Knowledge of fundraising support services, and commitment to the ethical collection and use of information preferred.
  • Proficiency with Raiser’s Edge NXT or similar donor management database system preferred.

Additional Info

Minimum Education High School Diploma or equivalent required.   Preferred Education: Bachelor’s degree in nonprofit management, humanities, business, computer science or related field.   Minimum Experience: Minimum of three years of related responsible office support experience or an equivalent combination of training and experience.   Nature of Work: Work is performed in a typical office environment. Some limited (<10%) travel will be required. Physical Requirements: While performing the duties of this job, the employee typically sits at a desk, uses a personal computer, telephone, photocopier, facsimile, and other standard office equipment; the ability to climb stairs is required. The employee frequently is required to communicate in person, by electronic mail, and by telephone.
