Overview:
Our Administrator is a key team member who manages the core of our organization. The Administrator is an independent contractor, who will work 10-15 hours per week. Contract is for one year from date of hire with strong possibility of renewal. This position is responsible for managing a virtual front office, in addition to ensuring that the back office functions run efficiently. Our Administrator reports to the President of the Board of Directors, who serve a one year term.
Job Duties
- Manages the Virginia Mediation Network (VMN) virtual front office
- Coordinates board meetings, conferences, trainings, and speakers, including attending and preparing/distributing materials
- Receives mail from VMN P.O. Box
- Maintains and updates Wild Apricot membership program
- Prepares and submits monthly finance and member reports to appropriate parties
- Assists in the creation and distribution of digital and print newsletter and other communications
- Maintains and updates L-Soft list serve database
- Maintains and updates website as needed
- Communicate with members, board, and outside vendors in a professional and timely manner
- Maintains Basecamp data storage system
- Assist treasurer and bookkeeper with processing timely and accurate income and expenses
- Writes checks and make debit card charges on behalf of VMN
- Manage registration, site and speaker arrangements, and other needs for conferences
- Some travel may be required for this position
Skills Required
- At least three to five years of progressively responsible administrative/office management experience
- Excellent interpersonal and communicative skills through a variety of media are also required
- Ability to handle multiple assignments, organize work, and establish work priorities with little or no supervision
- Ability to practice effective communication techniques, both verbally and in writing to independently answer inquiries and solve problems
- Experience with website and list serve management
- Knowledge with conference and webinar planning and hosting
- Strong computer skills particularly with regard to word processing, data base management, desktop publishing
- Experience with Microsoft Excel and Outlook
- Ability to work with a different President each year, and a wide range of personalities.
Work Schedule
15 hours, schedule to be determined, mostly week day
