Position Summary:
Provides administrative support in the areas of office & fundraising administration, workplace culture, and project support for other departmental needs.
Job Duties
- Serve as office receptionist for incoming calls, visitors and incoming and outgoing mail as well as managing general email inquiries.
- Ensure office is well maintained including properly equipped with office and kitchen supplies.
- Serve as an active participant of the organization’s “Culture Crew” to maintain an office culture that is reflective, inclusive and respectful – imbued with a sense of fun and camaraderie.
- Support HR function by assisting in hiring process for all staff positions including internship program with local universities and colleges.
- Assists the fundraising team with acknowledgement letters and Salesforce data entry.
- Administrative support to various departments within Mind & Life. Including but not limited to:
- Online/digital event support with Zoom and other processes.
- Database support/data entry. Become versed in the functions and reports in the Salesforce database as a proficient user for programs and general support.
- Support for event logistics in peak event times which may include travel expense report support and event logistical coordination.
- Calendar management & minute taking for meetings.
Skills Required
Qualifications:
- 2-year Associates Degree or equivalent education and experience.
- Previous on-the-job experience at an administrative support level.
- Advanced proficiency in the use of office technology including G-Suite and MS Office Suite (Word, Excel, PowerPoint). Salesforce database knowledge is a plus.
- A successful track record in setting priorities with strong organization and problem solving skills that support sound decision-making.
- Ability to communicate effectively with all members of the Mind & Life staff, MLI community, and the public, and maintain good collegial relationships and a team-oriented environment.
- Strong commitment to organizational mission of the Mind & Life Institute.
