Rare Book School (RBS), a 501(c)3 organization associated with the University of Virginia, seeks an administrative assistant to provide support for the Andrew W. Mellon Society of Fellows in Critical Bibliography (SoFCB), a thriving community of scholars working across disciplines to advance the study of texts, images, and artifacts as material objects. Our organization offers a close-knit, highly collaborative, mission-centered work environment with an abundance of both engaging, bookish people and fascinating bookish objects.


Job Duties

The assistant will work closely with the SoFCB Administrative Director to:

  • communicate with fellows as well as other RBS faculty, students, and guests;
  • process applications for the SoFCB Junior Fellows Program;
  • communicate with program applicants, application reviewers, and selection committee members;
  • plan meetings/events and make travel arrangements;
  • review and track SoFCB financial and other paperwork; and
  • carry out other program-related duties as required.

The hours are normally 10h/wk and based in Charlottesville, though given the current COVID-19 situation, our staff is working from home unless in-person meeting is unavoidable. The specific days/hours are flexible, but should be scheduled on a regular recurring pattern between the hours of 9am and 5pm, Monday through Friday. Occasional weekend and full-day work may be requested if a program event is being scheduled in Charlottesville (generally only once or twice a year).

Skills Required

We seek a considerate, organized individual who has a strong work ethic, likes to take the initiative, and is comfortable working independently. We welcome applicants with excellent interpersonal communication skills (both oral and written) and the ability to learn quickly through instruction, observation, and research.

Other desirable qualifications include:

  • long-term interest in the humanities, social sciences, or antiquarian books;
  • a degree in the humanities or social sciences;
  • experience in event planning, catering, and/or arranging group travel;
  • familiarity with Mac OS X and MS Office 365 (esp. Excel and Word);
  • experience with other adminstrative software such as Adobe Acrobat Pro, DropBox, Filemaker Pro, Interfolio, Qualtrics, and WordPress.
