Operations Coordinator – Brody Jewish Center – Hillel at UVa
The Brody Jewish Center seeks a highly organized, detail-oriented individual with bookkeeping skills to serve as our Operations Coordinator. The Operations Coordinator, working in partnership with the Executive Director, is responsible for ensuring that all bookkeeping and operations for the Brody Jewish Center are properly administered The Operations Coordinator is a part-time position. Evening and weekend hours are generally not required (only in very special circumstances).
The Brody Jewish Center seeks to empower Jewish students to engage with their tradition in relevant and meaningful ways and to inspire a lifelong relationship with Judaism and the Jewish people. BJC serves more than 1,000 undergraduate Jewish students, and more than 500 Jewish graduate students at the University. The Jewish community at the University of Virginia is thriving. BJC is an organization for students and run by students. Students at BJC are actively involved in visioning and programming, and they are true partners in the work of creating Jewish community at UVa.
Operations Coordinator responsibilities include:
Bookkeeping
- Paying bills on time. Preparing checks for Director’s signature and maintain associated electronic and paper records for all paid and unpaid receipts (2x/month)
- Entering and updating data into QuickBooks (2x/month)
- Making bank deposits on a regular basis (2x/month)
- Transferring funds to and from bank accounts (2x/month)
- Verifying receipts (as needed)
- Processing payroll through Hillel International (2x/month)
- Administration of benefits (1x/year)
- Processing paperwork for new employees (2x/year)
- Coordinate with Israel Fellow to track and pay/reimburse rent, utility, and transportation costs (1x/month).
Additional Operations
- Managing cook (4x/month)
- Creating menus, order food, and go shopping for fresh produce for weekly and holiday dinners (4x/month)
- Serving as “front line” for building maintenance and issues (as needed)
- Coordinate building rental for student and community groups as well as outside groups (e.g., for bar/bat mitzvah parties, meetings) (1x/month).
Special Projects
- Shabbat and holiday logistics (as needed)
- Other duties as determined by the Executive Director
Qualifications
Bookkeeping knowledge and experience (including knowledge of QuickBooks), attention to detail, flexibility, a sense of humor, and excellent interpersonal and communication skills are essential. The Operations Manager must be capable of working both independently and as part of a team, and have the ability to prioritize and handle multiple assignments. Candidates must have a minimum of one to three years relevant work experience.
