Description
Rare Book School (RBS) is searching for an Assistant to the Director, to provide administrative support for the organization’s busy Executive Director. Rare Book School is a non-profit, 501c3 organization, separate from but affiliated with the University of Virginia. The School’s Director travels approximately 140 days per year for research, lectures, conferences, board meetings, and visits to prospective donors. Working approximately ten hours per week, the assistant will help the Director stay organized and well prepared in the midst of a fast-paced, demanding schedule. Responsibilities:
- Provide support for the Director in RBS business matters as well as in other allied, professional commitments (i.e., Boards of Trustees)
- Maintain and manage Director’s calendar
- Keep senior staff informed (via general calendar and other means) of Director’s activities and whereabouts
- Organize, schedule, and help Director prepare for meetings with key people
- Arrange (frequent!) travel reservations and logistics; prepare detailed travel itineraries
- Assist in responding to email and other correspondence
- Submit expense reimbursements, credit card reconciliations, invoices, etc. by the deadlines assigned
- Reports directly to Director; also reports to Director of Budget & Finance, who is the primary liaison in the Director’s absence
Skills Required
Requirements/preferred qualifications
- College degree
- Strong communications skills
- Self-motivated, self-directed, highly organized with excellent attention to detail and follow through
- Strong sense of integrity and discretion, sense of humor and patience
- Preferred: Interest in the humanities, libraries, or cultural arts.
Work Schedule
Approximately 10 hours per week.
