Piedmont Virginia Community College (PVCC) is a nonresidential two-year institution of higher education that serves Central Virginia – principally residents of the City of Charlottesville and the counties of Albemarle, Buckingham, Fluvanna, Greene, Louisa and Nelson. Position Title: Grant Specialist – Post-Award Management

Position Summary
Piedmont Virginia Community College (PVCC) is seeking a detail-oriented Grant Specialist focused on post-award grant management. This role will ensure compliance with grant requirements, maintain accurate financial and administrative records, and support effective grant implementation. The ideal candidate is organized, proactive, and has strong problem-solving skills to support PVCC’s mission through the management of grant funds.
Job Duties
Key Responsibilities
Grant Compliance & Monitoring:
– Ensure all grant activities are in compliance with the terms, conditions, and regulations of funding agencies.
– Regularly monitor grant expenditures to verify alignment with budget allocations, reporting any discrepancies to the Director.
– Maintain awareness of grant-specific requirements, policies, and best practices.
Financial Record Keeping & Reporting:
– Utilize grant software to track all grant expenditures, maintain organized financial records, and collaborate with PVCC’s finance team for accurate reconciliation of funds.
– Prepare detailed financial reports for funders, ensuring all data is accurate, complete, and submitted on time.
Documentation & Record Maintenance:
– Utilize grant software to create and manage grant files, ensuring documentation is up-to-date and readily accessible for audits or reviews.
– Track milestones and reporting deadlines, proactively coordinating with relevant departments to ensure timely submissions.
– Monitor and document any changes or amendments to grant agreements, updating necessary records.
Initiative & Problem Solving:
– Address challenges in grant administration by identifying issues, evaluating possible solutions, and implementing strategies in collaboration with the Director.
– Act as a resource for program managers and other departments regarding grant compliance and financial tracking.
Communication & Coordination:
– Work closely with internal departments, including finance, academic programs, and external partners, to support grant implementation.
– Provide training and guidance to staff involved in grant projects, ensuring they understand grant terms, reporting expectations, and compliance requirements.
Skills Required
Experience:
– Strong experience in post-award grant management, finance, or related fields.
– Demonstrated experience in financial tracking, record keeping, and compliance management.
Skills and Competencies:
– Strong attention to detail, accuracy in record keeping, and ability to meet deadlines.
– Proficiency in interpreting grant contracts and terms.
– Effective problem-solving skills with the ability to take initiative.
– Strong communication skills to work with various stakeholders.
– Familiarity with relevant grant management software and financial tracking systems is a plus
Work Schedule
– daytime hours, Monday through Friday—29 hours or less per week
