Description

The Administrative Assistant will be the first point of contact for job-seekers connecting with Network2Work (N2Work). The successful candidate thus must demonstrated a proven record of customer service, the ability to work in a dynamic and fast-paced environment, and skill in working with a diverse population. The candidate must also demonstrate strong organization and technical skills to assist Network2Work as we help job-seekers realize their full potential. The Administrative Assistant will work as part of a collaborative team in Network2Work to create a positive and welcoming climate that promotes job-seeker success.

Job Duties

Responsibilities and Duties:
Provides warm and efficient service in-person, by phone, and by email to answer or direct inquiries about Network2Work@PVCC.
Opens and closes the office according to the Network2Work schedule.
Provides administrative support for Network2Work@PVCC team.
Provides administrative support for Network2Work@PVCC volunteers.
Maintains a positive attitude, even in times of stress.
Completes onboarding tasks and responsibilities with job-seekers, to include ensuring Welcome packets are prepared for Network2Work Coaches.
Assists job-seekers in completing applications and forms.
Composes routine correspondence and other correspondence with guidance.
Correspondence is proofed for errors, both spelling and grammar, and sent promptly.
Promptly returns calls forwarded from the Dean.
Learns how to navigate various applications and forms used by job-seekers.
Professionally communicates with community partners who offer support services for our job-seekers.
Accurately troubleshoots job-seeker issues and concerns and refer as needed.
Assists the Network2Work@PVCC team in completing grant-required reports.
Manages and updates the n2work.org technology platform as needed.
Maintains physical and digital files and documents.
Works with the Office Manager to obtain supplies for the office and program events.
Works with the Office Manager to track Network2Work@PVCC inventory.
Assists in the reception and organization of donated items to Network2Work.

This grant-restricted position is partially funded by the US Department of Health and Human
Services – Temporary Assistance for Needy Families (TANF).

Skills Required

Required Qualifications:
Demonstrated customer service experience.
Demonstrated administrative support experience.
Strong interpersonal and written communication skills to help engage, provide support, and motivate job-seekers and volunteers.
Ability to master fundamental tasks in the Microsoft Office suite, including Outlook, Excel and Bookings.
Ability to work with a wide array of diverse people in a dynamic environment.
Excellent customer service and administrative skills.
Ability to multi-task in a fast-paced environment.
Strong organizational skills.
Attention to detail, especially when it involves financial information.
Commitment to the Community College mission and the mission of Network2Work to help job-seekers realize their full potential.
Ability to gather, compile, and present information in verbal and/or written format.

Additional Considerations:
Experience with social media.
Demonstrated experience working with disadvantaged and re-entry population.
Demonstrated experience working with social service agencies and employers.

Work Schedule

Monday through Friday, days–no nights or weekends
