Description

The Donor Relations team within University Advancement at the University of Virginia (UVA) is seeking a highly organized and detail-oriented Assistant Director. Reporting to the Associate Director of Donor Relations, this individual will support the team’s objectives to steward donors to the University and will focus on efforts to engage donors to scholarships and the student beneficiaries who benefit from UVA’s donor-funded scholarships.

 

The ideal candidate is deadline-driven, detail-oriented, able to balance and fulfill multiple simultaneous projects and requests and thrives in a fast-paced environment. They are a proactive communicator with demonstrated success in problem solving, exceptional organizational skills, and keen attention to detail. Experience using a CRM or technical database and a high level of skill using Microsoft Excel is preferred.

 

Primary responsibilities will include administrative and programmatic support, including tracking fund information, attendance and other metrics, writing and editing content for donor reports, engaging with student scholarship recipients, reviewing fund data. This individual will support the University’s strategy for stewarding gifts to scholarships and will act as a liaison between University Advancement Donor Relations, frontline fundraisers, and UVA’s Office of Student Financial Services (SFS).

 

This individual should understand—or be excited to learn—the importance of donor stewardship, its role in successful fundraising, and how it contributes to advancing the University’s mission.

 

MINIMUM REQUIREMENTS

Education: Bachelor’s degree
Experience: At least three years of experience.

This position is located in Charlottesville, VA and is required to work intermittently in a shared office space located in Charlottesville. Physical Demands: 

This is primarily a sedentary job involving extensive use of desktop computers. This role requires occasional travel to attend meetings and staff events, as well as the ability to work evenings and weekend events on an as-needed basis.

 

The anticipated start date is as soon as possible.

 

This position will remain open until filled. This is an Exempt level, benefited position.

Job Duties

Job responsibilities include:

  • Utilize CRM and other University databases to maintain donor and fund records.
  • Serve as lead for accessing information via Student Financial Services’ scholarship awarding database.
  • Monitor and analyze donor and student data with a meticulous eye for detail.
  • Oversee collection of student scholar profiles; from outreach to follow up and final reporting.
  • Write and review fund beneficiary summaries for inclusion in impact and endowment reports.
  • Manage lists and segmentation strategy for outreach to donors and students.
  • Manage production of printed materials, including list building, mail merges, proofing and printing, mailing, and tracking.
  • Create briefing documents and agendas for meetings with key internal and external stakeholders, including donors, students, and UVA leadership.
  • Attend in-person and virtual meetings and/or student events as needed.
  • Utilize ThankView platform to send video messages to students and donors.
  • Provide effective proofreading support.
  • Maintain knowledge of and work in compliance with Student Financial Services policies and procedures relating to FERPA and other regulations.
  • In addition to the above job responsibilities, the incumbent will also be responsible for other duties as assigned.

Skills Required

Required Knowledge, skills, and abilities:

  • High level skills using Microsoft Excel, including but not limited to: managing large database sets, task automation, creating dynamic reports using pivot tables, building formulas, cell formatting, and building charts and graphs.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, and mail merge).
  • Strong technical skills with the ability to learn new databases and software programs.
  • Exceptional verbal and written communication skills; ability to present, write, edit, and organize thoughts in a clear, concise, and well-organized manner.
  • Strong client service orientation and attention to detail.
  • Excellent interpersonal skills and professionalism to interact and effectively communicate with a wide range of people at varying levels within the organization.
  • Experience and/or interest in supporting multi-faceted projects.
  • Proactive problem solving.
  • Ability to work independently and as part of a team.
  • An aptitude for setting priorities, managing time, and meeting deadlines.
  • Ability to work evenings and weekends, as needed.
