Description

The Executive Assistant & Board Liaison provides high-level administrative and project management support to the Executive Director (ED) of Shenandoah National Park Trust. In addition, the position is the primary administrative liaison to Shenandoah National Park Trust Board of Directors, its committees (Board, Executive, Governance, Finance, Investment Development) and the Board Emeritus.

This position reports directly to the ED. This is a unique opportunity to be a part of a dynamic, collaborative, direct, fun team working to build a diverse community of stakeholders to forward the mission of the Shenandoah National Park Trust.

Job Duties

  • Proactively support the ED with administrative duties and manage the ED’s calendar to ensure relevant stewardship of all key stakeholders locally, regionally, and nationally. This includes coordinating multiple internal and external calendars.
  • Work with the ED and other team members to ensure effective management and support for Trust revenue goals by helping to maintain a focused development agenda throughout the year.
  • Schedule meetings, speaking engagements, travel itineraries, and events to efficiently manage the ED’s time.
  • Coordinate and provide briefings and agendas for the ED’s appointments/meetings, and work with ED to coordinate follow up items as needed.
  • Provide support for high-level donor stewardship and engagement events.
  • Assist ED with communications (may include emails, reports, drafting documents and letters, board communications, presentations, press releases, etc.).
  • Liaison with Park Superintendents Office to coordinate schedules and priorities of the Trust’s team.
  • Organize all board and committee meetings, including new board orientation, retreats, receptions, socials, and events as directly related to the board and ED. This includes scheduling meetings, securing location, maintaining official minutes, managing online portal, preparing agenda and meeting packets, and coordinating refreshments.
  • Assist in monitoring and tracking board performance, including attendance, compliance issues, and following-up on tasks assigned at board meetings.
  • Other duties as assigned.

Required Education and Experience

  • Proficiency in O365 with a strong working knowledge of Outlook, including scheduling functionality. A general familiarity with relationship and/or donor databases is helpful.
  • Demonstrated executive support experience required.
  • Bachelor’s Degree preferred.
  • Capacity to work outside normal business hours to meet the stewardship needs of the organization.
  • COVID vaccination requirement: we expect all current and new employees to be vaccinated against COVID-19.

This position is based in Charlottesville VA

Salary: $40,000-$50,000, with competitive benefits; including staff hikes and a Shenandoah  park pass.
