The Development Associate plays a key role in expanding the scope and impact of our grateful patient fundraising program. As a member of the UVA Children’s fundraising team, the Development Associate will help engage donors, parents, friends, grateful patients, and families in support of UVA Health’s priorities, and will support and speed the work of the UVA Children’s fundraising team by providing administrative support to our team of frontline fundraisers.
Administrative support for the UVA Children’s fundraising team may include: he/she/they will schedule meetings with internal and external stakeholders and prepare collateral materials; arrange travel and process expense reimbursements; draft minutes; develop understanding and ability to run a variety of reports from the UVA donor databases; perform prospect research; provide event and board meeting support; provide communications support for donor engagement; and other tasks as assigned.
The Development Associate will ensure that our outreach to patient prospects and donors is prioritized, coordinated, and fully compliant with patient privacy law. He/she/they will support our programs to engage volunteers, faculty and clinician partners in philanthropy, track campaign fundraising and performance metrics, and coordinate with other UVA Health Foundation or University Advancement colleagues.
Responsibilities
Administrative Support for UVA Children’s Development Officers – 50%
Schedule meetings for frontline fundraising team with faculty and physician partners, donors, CMN partners and/or volunteers; manage calendars; organize and confirm meeting logistics; and prepare agenda and supporting materials, including briefings, patient prospect lists, reports, etc.
Set up and confirm travel arrangements using Travel UVA, hotel accommodations, and car rentals. Provide travel/visit itineraries. Assist with reimbursements using Expense UVA.
Communicate in a professional manner and assist team members in ensuring timely responses to inquiries and requests for information from HSDO leadership, faculty, volunteers, donors, and community members.
Assist frontline fundraising team in timely follow-up to visits, including contact reports, proposals, thank you letters, processing correspondence and forms, and filing documentation in the OnBase electronic filing system.
Provide support as needed for prospect/donor visits with faculty and leadership.
Provide general office support and partner with colleagues on larger scale projects as needed.
Other duties as assigned.
Prospecting and Pipeline Development for UVA Children’s & Women’s – 25%
Generate reports, prospect lists, and conduct general prospect management and research using the Grateful Patient Portal (patient database). Manage information on patient donors and prospects in full compliance with HIPAA patient privacy law.
Utilize Tableau and Advance databases to identify potential donors within the alumni, parents, and friend constituent base; perform prospect research on potential donors using web and CRM tools.
Assist frontline fundraisers with portfolio management and moves management for grateful patient and community/friends prospects and donors, using the Grateful Patient Portal, Advance, and EverTrue.
Assist frontline fundraisers in managing prospect discovery work and prospect lists.
Input information into databases, including EverTrue, Advance, and the Grateful Patient Portal.
UVA Children’s Program Support – 25%
Provide assistance and support for UVA Children’s or Women’s Health fundraising events, including but not limited to, creating and updating guest and sponsor lists; preparing sponsor solicitations, managing save-the-date and invitation mailings, scheduling meetings and interacting with volunteers; tracking RSVPs; day-of staffing; processing payments to vendors; and post-event reporting
Coordinate with physician partners’ administrative liaisons to prepare and mail letters of philanthropic introduction; assist DOs in scheduling timely follow up.
Collect and maintain an internal list of news articles and communications materials highlighting relevant UVA Children’s and Women’s Health priorities, such as UVA Today articles featuring pediatric research discoveries or patient care programs.
Serve as liaison to donors, volunteers, board members and external organizations; field inquiries and provide guidance on how to make a gift or hold a third party event to benefit UVA Health.
Assist with mailings; pull mailing lists and merge correspondence, including solicitations.
Special projects as assigned (e.g. in partnership with University Advancement, HSDO Communications, or HSDO Donor Relations).
Assist with preparation of appropriate fundraising campaign and presentation materials.
The UVA Health Development Office seeks a Development Associate, UVA Children’s to join our collaborative, high-achieving, and enthusiastic team. The Development Associate will play a key role in expanding the scope and enhancing the impact of the UVA Children’s fundraising program.
As a member of the UVA Children’s development team, the Development Associate will help engage community members, patient families, parents, grateful patients, and alumni in support of UVA Children’s and Women’s Health priorities. The Development Associate will support and speed the work of the UVA Children’s team by providing administrative support to the Sr. Director of Development, the Associate Director of Development, and the Children’s Miracle Network Coordinator.

COVID Vaccination Requirement

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
