The Bookkeeper & Office Manager is responsible for the accounting and administrative functions for the Virginia Victim Assistance Network (VVAN). The position is responsible for day-to-day accounting and reporting. The position also organizes office operations and provides administrative support as needed. The Bookkeeper & Office Manager reports to the Chief Finance Officer (“CFO”) and supports the Executive Director.

Duties and Responsibilities:
Finance
• Day-to-Day accounting
– Electronically maintains all financial information in QuickBooks Pro Online
• Weekly/Monthly management, operations, and reporting
– Enters information into VVAN’s accounting system and ensures integrity of data
– Retrieves mail from PO Box. Opens, sorts and distributes incoming mail (weekly)
– Processes invoices and prepares online check payments (weekly) and ach payments (semi-monthly)
– Records ach deposits
– Makes bank deposits via remote deposit
– Prepares employee semi-monthly payroll for processing by the CFO
– Maintains leave accrual records
– Maintains membership records and invoices for renewals in Wild Apricot &/or Salesforce
– Reconcile bank accounts
– Produces financial reporting, as needed
– Research and resolve vendor issues, as needed
• Operations
– Oversees logistical VVAN office needs including office supply inventory, filing systems, and equipment repairs or upgrades
– Maintains and updates electronic mailing lists and other contact records
– Helps develop and track forms and processes for smooth office operations
• Administrative Support
– Conducts “onboarding” of new staff; exit processing of departing staff and maintenance of employee personnel records/files
– Serves as the primary contact for the organization’s vendors and subscription services such as IT, software, and office supply providers. Manage accounts and ensure invoices are paid.
– Maintain and update mailing lists and other contact records.
– Assist with data entry tasks, as needed
– Send acknowledgement letters to donors
– Other related duties as assigned
Experience and Qualifications:
• Experience
– Minimum of 2-years nonprofit accounting experience
– Proficient in QuickBooks Online
– High level of comfort with software such as Microsoft Office Suite, Google Workspace, Constant Contact, etc. Experience with Salesforce preferred but not required
– High level of skill and comfort with verbal and written communications. Skills test may be required
• Qualifications
– Must be a fast learner who shows initiative and can work with a great deal of autonomy
– Must be able to work virtually (VVAN will provide all necessary equipment) within typical business hours (8:00am – 5:00pm), Monday – Friday
– Must have a collaborative and enthusiastic work ethic
– Highly organized with attention to detail
This part-time position is 100% telework offering a semi-flexible work schedule. Occasionally, monthly staff meetings may be held in person. The salary range is $24.00-$25.50 per hour. Benefits include annual vacation of 24 hours per year earned at the rate of 2 hours per pay period. Employment is pursuant upon successful criminal background and reference check.
