Description

The administrative assistant will support Innisfree’s administrative team, with a particular focus on support for the development and medical offices. The administrative assistant will report to the Executive Director.

Job Duties

Development Office (~40%)
– Enter and manage data in donor database (Bloomerang) related to fundraising activities and donor information
– Generate gift acknowledgment letters and ensure timely mailing
– Coordinate with accounting department for financial reconciliation
– Prepare reports on fundraising activities and progress for board, committee, and donor meetings
– Coordinate distribution of periodic communications to donors and stakeholders
– Assist with year-end giving statements and tax documentation
– Assist in planning, organizing and managing fundraising events
– Support the grant program, including content creation for proposals and applications, grant reports, donor newsletters, direct mailings, and case statements

Medical Office (~40%)
– Ensure timely forwarding of medical bills to families
– Coordinate with house personnel and pharmacy to ensure medication refills are ordered/received in a timely manner and that sufficient medications are on hand for coworker vacations/travel
– Sort, inventory, and deliver monthly and interim medication deliveries to houses
– Periodically review coworker files to ensure advanced medical directives, information release paperwork, and guardianship paperwork (where applicable) is current and accurate
– Coordinate with the Blue Ridge Health Department for required and recommended on-site vaccination (influenza, COVID-19, etc.) and screening (TB) events
– Conduct regular inventories of medical supplies and orders supplies as needed

General Administrative Support (~20%)
– Answer telephones and direct calls
– Meet regularly with Executive Director to identify areas of need and ensure adequate distribution of administrative support
– Provide additional organization/administrative support as requested by Leadership Team members
– Maintain general cleanliness of main office space

Skills Required

– Strong organizational and time management skills: The ability to manage multiple tasks and meet deadlines.
– Excellent communication and interpersonal skills: The ability to interact effectively with donors, staff, volunteers, families, and program participants with disabilities.
– Experience with donor management software (e.g., Bloomerang) and Microsoft Office Suite
– Attention to detail
– Strong written communication skills
– Experience in a nonprofit development role: Preferred, but not required.
– Flexibility and adaptability
– Confidentiality

Work Schedule

On-site at Innisfree Village in Crozet, VA.

M-F, 9-5

Some flexibility required for occasional weekend/evening events
